One of your school’s most valuable resources is its data. We understand how important it is to keep it error-free, flexible and readily available. We also understand that an independent school’s unique needs may require it to use a variety of disconnected systems that contain the same data.

To help eliminate redundancies that can arise as a result, our system:

- Offers data import types to eliminate duplication
- Tracks changes made and by whom

To give our schools greater access to their data, we take the following steps:

- Provide tools to increase efficiency and ease of use
- Create commonly used canned reports based on customer requests
- Improve ODBC Access for optimum flexibility in access to raw data
- Open API for school IT staff to customize their own solutions
- Forge partnerships to integrate with third-party data systems

The goal of the Data Team is to create a consistent, repeatable and reliable process through which your school can update its data.


Initial Data Conversion
The Initial Data Conversion refers to the one-time conversion and import of a school's data into Podium.
WhippleHill's Data Team aims to make the Initial Data Conversion process efficient and effective by discussing with the school's data manager the type and number of data applications they utilize. Together, they determine the best strategy to resolve potential duplicate users that may exist in more than one system. In Podium, users may have multiple relationships with the school (parent, alumni, faculty), but will be stored in only one instance, or Profile.

Data converted and imported in this process can include, but is not limited to, calendar/events, athletics, faculty academic associations, courses and departments.

Data Refresh
Data Refresh is the process of updating existing users and adding new user records to Podium in bulk. These records typically include only biographical data for alumni, parents, students, teachers and non-teaching staff, as well as other constituent types.

Data Import Tool
This fully automated tool puts clients in complete control of their updates of academics, athletics, events, Push Page subscription lists and more, as well as basic list items, such as ethnicity and religion.
